AI receptionist or a human answering service?

Both pick up the phone. They are good at different things, and the right answer for your business may be one, the other, or a bit of both.

Two ways to stop the phone ringing out

A human answering service (also sold as a virtual receptionist) is a team of people who answer your calls from their own office, using a script you agree with them. An AI receptionist is software that answers in a natural voice, works from the business details you give it, and can book, take messages and send links on its own.

It is tempting to frame this as people versus robots. A more useful frame is: which of your calls need judgement, and which just need answering quickly and correctly?

Where people do better

Be honest about this part. A good human receptionist reads tone. They can tell a nervous first-time caller from a regular who is in a hurry, and they can bend a rule when it makes sense. Calls like these can go better with a person:

  • Complaints, disputes and anything where the caller is upset.
  • Quotes that depend on a conversation, not a price list.
  • Sensitive situations where the caller needs reassurance more than a booking.
  • Long-standing clients who expect to talk to someone they know.

If most of your calls look like that, a staffed service, or your own team, is probably the better primary answer.

One thing to check with any staffed service: what happens after the call. Some take a message and pass it on by email or text, which still leaves returning the call, the booking and the payment with you. That is fine if you have time for it each evening, and less fine if you do not.

Where an AI receptionist does better

Then there are the routine calls: when are you open, do you come to my suburb, can I book in for Thursday, can you move my appointment. Here software has real advantages.

  • Speed. It picks up without a queue, and several callers can be answered at once rather than waiting in a queue.
  • Hours. It answers at night, at weekends and on public holidays without overtime or a different roster, during whichever hours you forward calls to it.
  • Doing, not just noting. NeuCalla books into your diary inside your booking rules, and can send a payment link for a call-out fee or deposit, instead of passing a message along for you to action.
  • Consistency. It works from the same call flow and rules you set on a Monday morning as on a Saturday night.

Cost and predictability

Answering services price in different ways: per call, per minute, or a monthly bundle with extras. That can be fine, but it makes a busy month hard to predict. Before you compare, pull your real call numbers for a busy month and price both options against them.

NeuCalla is a monthly plan: $99 a month including GST, with 100 call minutes, 100 texts and 100 website chats. Extra minutes are prepaid at $0.50 each, and if your balance reaches zero NeuCalla takes voicemail messages until you top up, rather than running up a bill. You can see your usage in the dashboard.

A mix worth considering

You do not have to choose one for each call. One set-up is to let the AI receptionist answer first and hand the calls that need a person to a person:

  • In NeuCalla, list up to five numbers to try in turn, each with the days and hours it takes calls. You can choose a message the caller hears while they wait, and a private briefing the person answering hears before the caller is put through.
  • If nobody picks up, the call carries on to the next step you choose, such as taking a message.
  • For texts and website chat, press Take over to reply yourself, then Hand back when you are done.

That way your people spend their time on the calls that need them, and the routine ones still get answered.

How to decide

  1. Sort a fortnight of calls into routine and judgement-heavy. The split can settle it.
  2. Ring a demo line for each option with a real question from your customers.
  3. Ask both what you get after the call: a message, or a booking and a full record.
  4. Price your busiest month, including GST.

Common questions

Is an AI receptionist cheaper than an answering service?
It depends on your call volume and the service you compare it with, so work it out for your busiest month. NeuCalla is a monthly plan of $99 including GST with 100 call minutes, and extra minutes are prepaid at $0.50 each.
Can I use both?
Yes. Some businesses keep people for sensitive calls and let an AI receptionist handle routine bookings, questions and overflow. In NeuCalla you choose which numbers a call is put through to, and on which days and hours.
Will callers know they are talking to an AI?
NeuCalla's receptionist is told to say plainly that it is your business's AI receptionist when a caller asks, and not to claim to be human.
