After-hours calls for tradies: what to do with the ones you can’t take
You can't answer under a house, up a ladder or at the dinner table. The goal is not to answer more yourself. It is to make sure the calls you can't take still go somewhere useful.
Why the missed ones matter
You may know the pattern. The phone rings while you are mid-job, and by the time you ring back the customer has booked someone else. After 5 pm it is worse: the people who call at night can be the ones with a real problem, and they may keep dialling until somebody answers.
You do not need a figure from a survey to see the cost. Look at your own call log for last week, count the calls that rang out, and think about how many you returned in time. If you want to put a dollar figure on it, our missed calls guide for plumbers walks through the sum with your own numbers.
Decide what each kind of call needs
Before you set anything up, sort your after-hours calls into three groups:
- Urgent jobs you would get out of bed for: a burst pipe, no power, a gas smell.
- Real work that can wait until the morning: a quote, a dripping tap, a new downlight.
- Everything else: suppliers, sales calls, existing customers checking a time.
The aim is that urgent jobs reach you, real work gets booked or captured, and the rest waits without interrupting your evening.
Option one: a text back for the calls you miss
The lightest set-up is missed-call text-back. Set a NeuCalla number to Answer by text and forward the calls you miss to it. The caller hears a short line (you can turn it off), then can get a text in your business’s name asking what they need. You write that text, and the text-back guide lists the times it is not sent.
When they reply, you choose who answers: the receptionist replies by text, or their replies are sent to your mobile and saved as a follow-up (opt-out words such as STOP are handled for you, not forwarded). Some callers would rather text than leave a voicemail, and a written job description with a suburb is easier to price in the morning. We explain the details in missed-call text-back, explained.
Option two: let the receptionist answer
If you want calls answered rather than texted, set the number to the AI receptionist. It gives your after-hours message, asks what the job is and where, checks the caller is in your service area, and books a time in your diary, but only inside your opening hours and booking rules. A 9 pm caller can leave with a booking for 8 am instead of a voicemail.
For the urgent group, list the numbers calls can be put through to, up to five tried in turn, each with the days and hours it takes calls. You might take emergencies until 10 pm and let everything after that be booked for the morning. If nobody picks up, the call carries on to the next step you choose, such as taking a message.
With Stripe connected, the receptionist can also send a call-out fee or deposit link by text or email before the caller hangs up, so the caller can pay it before you leave home.
The morning after: keep the customer in the loop
Answering is half of it. The other half is the customer not wondering whether you are coming. From a booking in NeuCalla you can text the customer On my way or Running late, with how many minutes, or Job done, from your business number. The texts are short and factual, such as “Ben from Bexley Plumbing is running about 15 min late.” There is nothing to type on the side of the road.
Booking reminders help too. Turn them on and the receptionist can text customers with upcoming bookings before their appointment, a day ahead or the lead time you choose. Nothing goes out until you switch it on and approve the wording.
Holidays and shut-downs
Over Christmas or a week off, start from the holiday closure template, save it as a copy and schedule it for the dates you are away. Callers hear it on those dates, and your usual call flow comes back after the last one. You can still take messages, so the work is waiting when you return.
If you want to hear how it sounds before deciding, type your business name into the preview on our tradies page and try a booking.
Common questions
- Can NeuCalla answer only the calls I miss?
- Yes. Use your carrier's forwarding codes (Telstra, Optus or Vodafone) so calls you miss or decline go to your NeuCalla number. You keep answering the ones you can.
- What does the caller get if they ring after hours?
- With a receptionist number, NeuCalla answers, gives your after-hours message, takes the job details and can book a time inside your opening hours and booking rules. With a number set to Answer by text, the caller can hear a short line and can get a text in your business's name asking what they need.
- How do On my way and Running late texts work?
- From a booking, choose On my way or Running late with the number of minutes, or Job done. NeuCalla can then text the customer from your business number (the booking shows whether it went), for example: "Ben from Bexley Plumbing is on the way, about 20 min."
